Overview:
We are seeking an experienced Project Manager/Business Analyst to lead the Vital Records project, focused on improving productivity and documenting system enhancements for potential improvements. The ideal candidate will possess a strong background in project management and business analysis, capable of driving projects to successful completion and optimizing business operations. This role involves acting as a key liaison between stakeholders and project teams, ensuring business objectives are met with effective and efficient solutions. The candidate will spend significant time with stakeholders providing technical leadership to ensure timely identification and fulfillment of business requirements.
Essential Duties/Job Responsibilities:
- Analyze current processes and develop alternative future-state approaches to facilitate implementation.
- Lead and participate in requirements gathering and analysis sessions with clients to define project requirements.
- Guide stakeholders in defining and documenting project scope, objectives, requirements, and deliverables.
- Independently manage assigned projects to ensure outcomes align with customer expectations.
- Troubleshoot technical issues and collaborate with technical teams to identify and implement solutions.
- Coordinate with internal resources and stakeholders for flawless project execution.
- Manage relationships with vendors/service providers and ensure they meet their commitments.
- Exhibit excellent communication and interpersonal skills; lead effectively in a team environment.
- Master new technologies and deliver quality products within short timeframes.
- Serve as the technical lead for assigned projects and tasks.
- Collaborate with stakeholders and vendors to drive timely completion of IT projects.
- Lead project team status meetings to ensure milestones are met and dependencies are tracked.
- Conduct detailed analyses of business processes, systems, and workflows to identify areas for improvement and automation.
- Perform post-implementation reviews to ensure goals were met and identify lessons learned.
- Manage the full lifecycle of complex IT projects/programs from initiation to closure, ensuring successful delivery within budget, scope, and schedule constraints.
- Monitor project progress and provide regular status reports to stakeholders, including project health, risks, and issues.
- Manage project risks and issues, identifying and mitigating potential roadblocks, providing solutions for successful outcomes.
- Document, review, and approve project scope changes with stakeholders.
- Create and maintain project schedules throughout the entire project lifecycle.
- Maintain all forms of project documentation and records.
- Ensure IT systems and workflows are well-documented for future reference.
- Participate in Quality Assurance (QA) and User Acceptance Testing (UAT) planning and execution.
- Prioritize projects and address immediate technical needs as they arise.
Desired Education and Experience:
- Minimum of 5-7 years of experience in project management/business analysis or an equivalent combination of education and experience.
- Strong understanding of project management methodologies.
- Proven project management and coordination skills for leading multiple interdepartmental projects and initiatives.
- Capable of conducting gap analysis and needs assessments to uncover business needs.
- Experience in building user stories and use cases.
- Strong experience in leading, facilitating, and motivating teams for small to medium IT projects.
- Ability to work with business units in achieving their goals.
- Demonstrable experience in managing vendor relations and partnerships throughout the project lifecycle.
- Strong organizational, multitasking, and time management skills.
- Excellent verbal, written, and interpersonal skills across all organizational levels.
- Understanding of IT systems and processes with the ability to communicate technical information to non-technical stakeholders.
- Advanced troubleshooting, critical thinking, analytical problem-solving, writing, and communication skills.
- Ability to prioritize competing projects and propose effective alternatives to resolve end-user concerns.
- Experience in developing comprehensive test cases at the application and multi-application levels and assisting with end-user testing.
- Knowledge of different testing methods, test cases, test scripts, automated testing, and other aspects of testing.
- Previous experience working with a COTS-based provider is highly desired.
